Actual Labor

Actual Labor records are added from this page or the Complete/Close Work Order window. The Complete/Close Work Order window can also be used to convert estimated or assigned labor to actual labor records.

The option to convert estimated / assigned labor available in the Complete/Close Work Order window resets the records displayed in the Labor section of the Actuals page. The conversion options create new actual cost records based on the information stored in the estimates or assignments, resulting in the deletion of the manually entered records. To ensure that no important data is lost:

  • If you use the Actuals page to enter labor hours and costs, you should NOT use the conversion options available on the Complete/Close Work Order window.

    This means you should not use the Set Actual Other Costs to Estimates option.

  • If you plan to use the conversion option available on the Complete/Close Work Order window to create default actual labor records, do not add any manual labor records until this process is complete.

ClosedField Definitions

The following fields are displayed for actual labor:

  • Labor (Description): Description of the labor. If the labor resource was a craft, the craft will be listed. If the labor was assigned to an individual, the individual’s name will be displayed.

  • Reg Hrs / OT Hrs / Other Hours: Regular, overtime, and other hours expended by the labor resource for the work order.

    Regular hours are copied from the target hours listed in the assignment, if assignments were converted to actual labor.

  • Date: Work date. The value of this field is copied from the assignment date if assignments were converted to actual labor. This field can be back-dated if needed.

  • Cost: The total cost for the labor record, which is calculated based on the hours entered and the corresponding rates for the labor resource.

  • Charge: The total charge for the labor record, based on the charge rate defined for the individual or craft, or the labor rate subject to a designated markup.

    • If there is no markup or charge rate defined for the labor resource or craft, the charge will be the same as the cost.

    • If there is a markup defined for the labor resource or craft, the charge is calculated by determining total cost and applying the markup percent.

    • If there is a charge rate defined for the labor resource or craft, the charge is calculated by multiplying the total hours by the charge rate, regardless of whether the hours are for regular or overtime.

    • If there is both a charge rate and markup defined, the charge rate will be used.

    If the work order is being processed on behalf of a customer with defined charge or markup rates, the rate for that customer will be used, regardless of the labor resource specified.

ClosedAdd Actual Labor

  1. Click Add.

    The Labor Module lookup opens. The Labor Module lookup is filtered to Employees by default.

  2. Use the filter and search controls to identify the items you want to add.

    You can use the Type filter to filter for the type of labor.

  3. Select Craft, Employee, or Contractor from the Type filter.

  4. Locate the labor record you want to add.

  5. Click the labor record you want to add.

    The Labor (Actuals) window opens.

    Depending on security settings, the available labor records may be limited. For example, for many technicians, their own record may be the only one displayed.

  6. Enter the work date and actual hours.

    Costs and charges are automatically calculated after entering the hours based on the rates stored for this labor resource.

    If this work order is being completed on behalf of a customer with defined charge or markup rates, the calculated charge rate will reflect the rate for that customer, regardless of the labor record specified.

  7. Modify any additional information as needed.

    By default, the date field will be populated with the current date. This date can be overwritten to reflect a different work date, if necessary.

    The time in and out fields can also be entered. The Time In and Time Out fields are maintained independently of the hours fields.

    Changes made to the cost and charge rates will only effect this particular actual labor record. They will not change the rate associated with the individual or craft.

    The All assignments for this labor are complete? check box is selected by default. This check box allows you to show that multiple assignments on this work order for this labor record are all complete, without having to access each individual record. This state of completion will be reflected in the Complete/Close Work Order window.

    The Comments field can be used to add any additional explanatory information required.

  8. Choose between two options:

    • Click Apply.

      The Labor lookup appears with the actual labor is listed in the My Selection(s) area.

    • Click Apply/Close.

      The Actuals page appears. Skip to Step 9.

  9. Continue selecting additional actual labor as needed.

    To remove a record that has been added to the My Selection(s) area in error, click the blue arrow directly to the left of the row.

  10. Click Apply.

    The Labor Module lookup closes, and the new actual labor record is added to the Actual Labor table.

  11. Click Save.

ClosedModify Actual Labor

  1. Click the row for the actual labor you want to modify.

    The Labor (Actuals) window opens.

  2. Make your changes.

    As hours are modified, the cost and charge rate are automatically recalculated, based on the rates stored for this labor resource. Changes made to the cost and charge rate will only effect this particular actual labor record. They will not change the rate associated with the individual or craft.

    If this work order is being completed on behalf of a customer with defined charge or markup rates, the calculated charge rate will reflect the rate for that customer, regardless of the labor resource specified.

    If this individual has completed all assignments for this work order, ensure the All assignments for this labor are complete? check box remains selected. If the individual has only partially completed assignments, you can remove the check.

  3. Click Apply.

    The Actuals page appears.

  4. Click Save.

ClosedRemove Actual Labor

  1. Click the check box to the left of the actual labor record you want to remove.

    A check mark appears, indicating the record has been selected.

  2. Continue to check any additional actual labor records you want to remove.

  3. Click Remove.

    The actual labor records will be removed.

  4. Click Save.
